Privacy Policy

Last updated: October 23, 2026

Smart Dental Hygiene provides independent dental hygiene care in St. Thomas and Aylmer, Ontario. This policy explains how personal information is handled when you use our website, contact us or request an appointment.

For your privacy: please do not include detailed medical history, health card numbers or payment information in a website message. Contact the office to arrange an appropriate way to share information needed for your care.

Information you choose to share

Our appointment and contact forms ask for your name, email address, phone number, preferred location and an optional message. We use these details to respond to your enquiry, discuss your needs and arrange a visit. Sending a request does not confirm an appointment; our team will contact you to confirm the details.

Form submissions are emailed to the practice and stored in the website’s administration system. If you contact us by email, phone or text, we also receive the information you provide through that channel.

Subscription requests

The website’s subscription form sends your email address to our team as a request to receive updates. You can ask us to stop sending updates at any time by emailing info@smartdentalhygiene.com. Your choice about updates does not affect your ability to request care.

Website use, cookies and statistics

Our website and its service providers may process technical information such as your IP address, browser and device type, pages visited, referring page, and the date and time of a visit. This information supports website operation, troubleshooting, security and understanding how visitors use the site.

We use Burst Statistics to understand website traffic and interactions. It is configured to use a first-party cookie containing an anonymous visitor identifier to recognize returning visits. Other cookies or similar browser technologies may be used by website features and embedded services. You can manage or delete cookies through your browser settings; blocking them may affect some features.

Videos, reviews and external links

Our site includes YouTube video content, Google reviews displayed through Trustindex, and links to Google review pages and social media. Loading or interacting with these services may share technical information with their providers, which may use their own cookies and process information under their own privacy policies.

See Google’s Privacy Policy for Google and YouTube, and Trustindex’s Privacy Policy. Information you publish as a Google review is visible according to Google’s review and account settings. External websites are responsible for their own privacy practices.

Access, service providers and safeguards

Information submitted to us is used for the purpose of your request and related practice administration. Website, hosting, email and technical support providers may process information as needed to deliver those services. Information may also be disclosed where required or permitted by applicable law. Depending on a provider’s systems, information may be processed outside Ontario or Canada and be subject to the laws of that location.

We use website security measures and restricted administrative access to help protect information. No internet transmission or storage method can be guaranteed completely secure. Ordinary email and text messaging have privacy limitations; please share only what is needed to arrange a conversation.

Retention and your choices

Information should be kept only as long as needed for the purpose for which it was collected and applicable legal, professional and recordkeeping obligations. Contact us to ask about information held about you, request a correction or discuss withdrawal of consent. Some information may need to be retained or used where the law requires it. We may need to verify your identity before responding to a request.

Personal health information

This website policy is separate from the information practices that apply to clinical records and dental hygiene care. Please contact Agnes for information about how the practice handles personal health information and how to request access to or correction of a clinical record. In Ontario, health privacy rights are addressed by the Personal Health Information Protection Act, 2004 (PHIPA).
